Registration Policies

  • Thriving Roots Wilderness School believes that nature connection mentoring should be accessible to all. While many barriers (social, physical & material) to access our programs still exist; we are committed to offering needs-based Equity Fund Discounts to those who would not otherwise be able to attend our programs due to experiencing systemic barriers to wealth accumulation. This could be based on: racial and ethnic identity, sexual orientation and/or gender identity. For this reason, we prioritize BIPOC and LGBTQIA2S+ folk.

    We are committed to offering (at least) two equity supported spots in each of our programs and summer camps, ranging from 10% – 50% of the total tuition/camp fee. To apply for an Equity Fund Discount, please fill out our application form: Summer Camps 2024 or Year Long Programs 2024/25. We’ll contact you to let you know if we can offer you a discounted spot.

  • Your deposit is paid upon registration. This payment secures your registration and is non-refundable.

  • Thriving Roots Wilderness School welcomes students who are motivated to connect with nature, learn wilderness skills and are healthy & socially responsible. We will deny admission to anyone we believe to be unable to meet the safety demands of our courses.

    We believe in working with students and their families to find collective strategies to grow and learn from conflict. That said, we will dismiss any student who continually exhibits behaviour that is unsafe or disrupts from the educational mission of a course. If we can not find a solution for your child to participate, they will be dismissed. If a student is dismissed mid-program, there will be no refund.

  • Your payment commitment is for the full year term. Regardless of attendance, your account will continue to be charged until the end of the registration term. We cannot offer refunds for students who opt to leave mid-year.

    Our cancellation policies are based on our investment in staff, course planning, land rental, and equipment purchases before your course. We cannot recover our expenses if you cancel.

    If you choose to cancel or leave a course for any reason:

    • 15 or more days prior to the course start date: you are entitled to a full refund, minus the deposit and registration fee. 

    • 14 days or less prior to the course start date:  we are unable to offer any refunds or credits.

    The good news: 98% of the time, the program is the perfect fit for everyone. It’s very rare that we have students unhappy with their experience or unable to continue participation. In the event that you absolutely need to withdraw and we have an eager family on your program’s waitlist, it may be possible to provide a prorated refund, minus your deposit and registration fee. Regardless of waitlist status, we will not be admitting new students after February 1st to ongoing programs.

    If any duration of a course is cancelled by Thriving Roots Wilderness School:

    Although we rarely need to do so, we reserve the right to cancel a course or change a course duration, tuition or location. We are not responsible for costs associated in these cases.

    • We are unable to offer refunds if any duration of a program is cancelled due to inclement weather, or circumstances out of our control.

    • If a program is canceled due to low enrolment, tuition will be fully refundable or transferable.

  • Thriving Roots Wilderness School puts high priority on the physical and emotional safety of all its participants. We also value the opportunity to provide outdoor adventure in various weather conditions, including snow.

    In the case of forecasted snow, TRWS will email families to notify of the potential for program cancellation at least 2-3 days prior to program. The final decision regarding cancellation will be made by 7am on the day of program, and will be emailed to all families at that time. Should program run as scheduled, even during inclement weather, the decision to attend is the responsibility of individual families. If making the decision to attend, please consider:

    • TRWS operates in locations only accessible by back roads that may not be plowed at the time of pick-up or drop-off.

    • Participants attending must be mentally and physically prepared to be outside in challenging conditions all day. If students arrive with unsuitable clothing/gear (i.e. snow pants, snow boots, winter coat, gloves + toque) for a safe day outside, they will not be permitted to stay for the day.

    • TRWS instructors are permitted to declare an early pick-up time, should they deem necessary. Parents must be available by phone to receive this call and able to pick-up their child should this occur.

    TRWS is unable to offer refunds if any duration of a program is cancelled due to inclement weather, or circumstances out of our control. Due to other scheduling commitments, we cannot guarantee a scheduled make-up day, but may be able to do so on a case-by-case basis.

  • We do not take a deposit for Summer Camps or Workshops registration. Your camp/workshop fee is 100% non-refundable. Our cancellation policies are based on our investment in staff, course planning, land rental, and equipment purchases before your course. We cannot recover our expenses if you cancel.
